Adding Students to Your Roster

Summary

Add students to your personal instructor roster by entering their FlightSense ID in the iOS app. This links you as their instructor so you can view their progress, log flights, and manage training.

This is separate from organization membership—students added here appear in your Instruct tab regardless of which flight school they belong to.

  • Instructors using the FlightSense iOS app
  • Independent CFIs managing their own student roster
  • School instructors connecting with assigned students

Before you begin

The student must:

  1. Have the FlightSense app installed and signed in
  2. Have their name set in their profile (required to unlock their FlightSense ID)
  3. Share their 8-character FlightSense ID with you

How students find their FlightSense ID:
  1. Open the FlightSense app
  2. Go to Account Settings
  3. Their FlightSense ID is displayed with a Copy button

If the student hasn't set their name, their ID will be blurred with a warning: "Add name to unlock."

Steps

1. Open the Add Student screen

From the Instruct tab, tap the ellipsis menu icon (•••) in the top right, then tap Add Student.

2. Enter the FlightSense ID

Type or paste the student's 8-character FlightSense ID. The code auto-capitalizes as you enter it.

The screen displays: "Ask the student to provide you with their 8-digit code, which can be found in Account Settings."

3. Tap Save

Tap Save to add the student. If successful, you're returned to your roster and the student appears in your list.

What happens next

Once added, the student:

  • Appears in your Instruct tab roster
  • Shows their name, email, and current ACS standard
  • Can be tapped to view their full training details

You can now:

  • View their course progress and lesson completion
  • Log flights and debrief sessions with them
  • Track their ACS checklist progress
  • Sign endorsements

The student sees you as their instructor in their app.

How this works

Instructor roster vs. organization membership

There are two ways students connect to instructors in FlightSense:

A student can be on your roster without being part of your organization (e.g., a freelance CFI's private students). Conversely, organization students may need to be added to your roster before you can instruct them.

FlightSense ID requirements

The FlightSense ID is only available to users who have:

  1. Created an account and signed in
  2. Set their name in their profile

This ensures instructors can identify students by name when adding them. If a student tries to share their ID before setting their name, they'll see "Name Required" with instructions to add it first.

Validation flow

When you tap Save:

  1. The app validates the code format (alphanumeric, 8 characters)
  2. Checks if a FlightSense account exists with that ID
  3. Creates the instructor-student relationship
  4. Refreshes your roster to show the new student

All validation happens before the student is added—you'll see a specific error if any step fails.
